The real cost of late payments
Late invoices quietly drain more than cash. Here is how to measure the damage, and the reminder sequence that fixes it.

Late payments rarely arrive as one dramatic problem. They show up as a slightly thinner bank balance, a delayed hire, a supplier you end up paying late in turn. Over a year, the cost adds up to far more than the invoices themselves.
Measure what late really costs
Start with three numbers: your average days to get paid, the share of invoices paid after their due date, and the hours your team spends chasing. Multiply those hours by an hourly cost and add the interest you would pay to borrow the same cash. Most businesses are surprised by the total.
Make paying you the easiest option
Every extra step between an invoice and a payment is a reason to wait. Put a pay button on every invoice, accept cards, bank transfers and wallets, and let customers pay in their own currency.
Automate reminders that sound human
Polite, well-timed reminders recover most late invoices without a single phone call. A sequence that works well for many Paydesk customers:
- A friendly note three days before the due date
- A reminder on the due date with a direct payment link
- A firmer follow-up seven days later
- A final notice at fourteen days, copied to your team
Customers who can pay in one click pay, on average, six days sooner.
Set clear terms from day one
Agree on payment terms before work begins, state them on every invoice and consider a small discount for early payment. Clarity up front prevents awkward conversations later.
Late payments are a solvable problem. With clear terms, an easy way to pay and reminders that run themselves, you can spend your time on customers instead of collections.
